The Publishing Operations Coordinator will be an integral part of the SuperSummary Content Team, reporting to the Content Operations Manager. This role will oversee publishing and distribution of our core study guide products (and related content/products), ensuring best-in-class product consistency, quality, and usability for our customers. Given the distributed nature of our team, this role is remote; our team is distributed throughout the United States and abroad.
As Publishing Operations Coordinator, your primary goal will be to ensure timely, accurate, and efficient monthly distribution across multiple sales platforms. You will manage the Philippines-based team responsible for posting study guides to SuperSummary.com, as well as to Amazon.com and other sites. You will also support the Content Team’s efforts by overseeing the proofreader(s), executing content/product Quality Assurance (QA) revision projects, auditing production data for accuracy, and continually improving our operational efficiency and excellence. As part of a data-driven team, you will measure your success against well-defined KPIs to meet monthly production goals.
Key functional responsibilities for this role include:
Publishing excellence: Maintain documentation — e.g., style/formatting standards, SOPs, and team instructional materials — for publishing content to our own content management system and additional distribution platforms. Build a comprehensive training program to ensure consistency and quality across all team tasks.
Leadership & process improvement: Present operational insights and data/metrics to internal stakeholders as the representative of the publishing stage of the product pipeline. Continually develop and execute creative process improvements. And support the Content Operations Manager on various special projects, including those related to maintaining data quality, testing new tools, and implementing new systems to support future goals.
Team Development: Directly lead the 7-person, Philippines-based team responsible for daily content posting; maintain team motivation and provide coaching and development opportunities. Oversee a new proofreader role.
Team capacity/efficiency management: Regularly monitor team capacity and performance against monthly production goals/KPIs to identify and address emerging issues. Increase speed-to-market for study guides and minimize delays by implementing data-informed decisions, proactive team planning, and productivity-focused SOPs. Hire and train contractors to fill production capacity needs.
Product distribution: Maintain SuperSummary study guide product libraries across all distribution channels, including troubleshooting sales platform issues. Safeguard SuperSummary’s intellectual property by applying takedown protocols for unauthorized site distribution.
Content excellence: Uphold content and production quality across all products and product-related site content. Oversee the proofreading stage of the production pipeline. Perform as-needed QA audits and execute content/product revision projects.
Sample projects this role may oversee in the next 6 months:
Assess and implement improvements to the Posting Team’s training & instructional materials. Review the team’s current efficiency metrics and suggest refinements and updated milestones.
Conduct a thorough audit of all SuperSummary’s product libraries for consistency and quality. Spearhead a repair project to document standards and then correct for discrepancies.
Design and launch a process for integrating a new distribution platform into the current posting process
The ideal candidate will have previous experience overseeing high-volume, production-related operations and confidence managing complex teams and/or projects. The ability to systematize, creatively problem solve, and fully own and manage a process with high accountability is key. Additional valuable experience includes the ability to analyze data to make informed decisions, writing and/or editing experience, and familiarity with the education and/or publishing sectors.
Minimum 2-3+ years of experience in relevant functional roles (content production, content management, editorial operations, business operations, operations management, project management, etc.)
Highly organized with a meticulous attention to detail and an ability to manage competing priorities
Excellent communication and project management skills
Proficiency with content management systems (CMS)
